# Manage customer birthdays

> Add or edit customer birthdays individually from a customer profile, or add them in bulk using a CSV file.

You can add or edit a customer's birthday directly in Smile Admin. You can do this one customer at a time directly from their profile in Smile Admin, or add birthdays in bulk using a CSV import. Birthday points are only awarded if the **Celebrate a birthday** earning action is enabled in your program.

## Add a birthday for an individual customer

You can add or edit a customer's birthday directly from their profile in Smile Admin.

1. In Smile Admin, navigate to **Program** > **Customers**.
2. Search for the customer by name or email.
3. Click the customer you want to edit.
4. In the **Details** card, click **Add birthday** (if no birthday is saved) or **Edit** (if one already exists).
5. Enter the customer's birth month and day. Birth years are not displayed or editable in Smile Admin.
6. Click **Save** to confirm.

  **Important:** If you add or update a birthday within 30 days of the customer's birthday, they won't receive points on that birthday. They'll receive them as normal from the following year.

## Add birthdays for multiple customers (CSV import)

If you need to add birthdays in bulk, you can import them using a CSV file. Note that the CSV import cannot be used to update birthdays that are already saved — use the **Edit** option on the customer profile for that.

### **Before you start**

Dates must be in `YYYY-MM-DD` format (e.g. `1990-12-25`). If you don't have a customer's birth year, use `1004` in the year field.

Smile only uses the month and day for birthday rewards. Birth years are not displayed in Smile Admin and are not used when awarding birthday points.

### **Important notes**

* Only customers already in Smile will be updated — new customers cannot be added with this process.
* Existing birthdays will not be overwritten if they are already saved.
* Invalid dates or unrecognized customers will be skipped.

### **Import the CSV**

1. In Smile Admin, navigate to **Customers**.
2. Click **Adjust customers** > **Import birthdays**.
3. Upload your CSV in the upload window.
4. Review and confirm the import.

## FAQ

**Will adding a birthday in Smile Admin trigger points immediately?** No. The standard birthday points rules still apply — including the 30-day advance requirement and the once-per-year limit.

**Can I edit a birthday that a customer already entered themselves?** Yes. The **Edit** button appears on the customer profile whenever a birthday is already saved, regardless of who entered it.

**Can I use the CSV import to correct a birthday that's already saved?** No. The CSV import skips any customer who already has a birthday on file. To update an existing birthday, use the **Edit** option on the customer's profile instead.

**Will the customer be notified when I add or edit their birthday?** No. Customers are only contacted when birthday points are actually awarded on their birthday.
